Share a Tropy Metadata Template Without Ambiguous Names
By ImgHeal · Updated
A shared Tropy template needs a clear identity as well as sensible field labels. Two templates called Family Photos can have different meanings. Record the template's purpose, URI, and revision notes, then test a sample record with the person who will use it.

Describe the collection and intended record
Name the template for its actual purpose, such as a family print inventory with separate capture views. State what one item represents and which collection it covers. List fields that are deliberately absent, for example an exact date when only date ranges are supported by the evidence. Include one filled sample and one uncertain sample. These examples are more useful than a long list of labels because they demonstrate how to enter incomplete information without turning it into a false fact.
Choose identity separately from the display name
The Tropy template documentation requires a name and URI and explains why the URI should remain distinct. Do not copy an unrelated project's identity merely because its labels look convenient. Record the selected identifier with your field guide. If a later revision changes a field's meaning, document that change rather than silently reusing an old label for a new concept. Check how the recipient's installed edition handles the imported template before describing it as a universally portable standard.
Review a small exchange before adopting the template
Have the collaborator create or inspect a few sample records, including a front-and-back print and a source with an uncertain attribution. Compare what each person thinks the fields mean. Correct unclear descriptions before migrating a large existing project. Retain the earlier template information with the project backup, so a future reader can interpret older entries. If the collection includes restored or colorized viewing copies, the template should provide a way to state that relationship without making the image appear to be an unedited historical source or promising that an application performs restoration itself.
Check this workflow
- Give the template a collection-specific purpose.
- Record identity and revision notes.
- Review uncertain sample records with the recipient.

Questions about this restoration task
Does matching field wording guarantee matching meaning?
No. Compare the field definitions, scope, and examples. A shared label such as Date can refer to different events in different projects.
