Test Required Omeka S Photo Fields with Uncertain Records
By ImgHeal · Updated
A required metadata field can improve completeness only when contributors can enter honest information. Test an Omeka S photo template with uncertain dates, unknown creators, and incomplete source records before using it widely. Never invent a value simply to satisfy the form.

Choose difficult records deliberately
Use three samples: a well-described print, a photograph with only an approximate date, and an unidentified image whose creator is unknown. Include a separate front-and-back pair if your collection uses that model. List the information a public reader actually needs to retrieve and understand each object. A template designed only around the complete sample may force every incomplete item into a misleading shape. Preserve literal inscriptions and uncertainty notes outside normalized fields where their meaning would otherwise be lost.
Review requirements and field instructions
Omeka S documents required properties in resource templates and the constraints they place on saving records. Review each proposed requirement with a collection editor. Decide whether an explicit unknown value is appropriate under the collection's rules or whether the field should remain optional. Supply examples explaining date ranges and unresolved names. Do not place a false exact year in a date field just because the interface appears easier to complete that way. Test the installed template behavior on non-sensitive copies before changing established records.
Evaluate the saved public record
Ask a second contributor to enter the difficult samples using only the written instructions. Review the saved fields and the public page, including whether the theme makes uncertainty visible. If contributors guess, abbreviate unpredictably, or misuse a source-reference field to bypass a requirement, revise the template. Keep a short decision log explaining the accepted conventions. Apply the model to restored viewing derivatives without making the processing date or generated interpretation replace the historical source description. Expand only after the pilot shows that incomplete evidence remains understandable.

Questions about this restoration task
Should an unknown photographer be replaced with the digitizer's name?
No. Those are different roles. Use the collection's documented unknown-creator convention and record digitization separately.
