How to Stop a Metadata Preset from Replacing Family Photo Captions
By ImgHeal · Updated
A reusable metadata preset can save time on common credits. It can also spread one photo's caption across an entire album if the included fields are not checked first.

Separate shared facts from image-specific facts
List the values that truly apply to every selected photograph, such as an agreed collection contact or digitization note. Keep sitter names, event dates, detailed captions, and uncertain identifications out of that common list unless you have checked each image. A family album can mix several photographers and decades even when all files were scanned on one day. Examine the preset itself rather than relying on a reassuring name such as Family Archive or Standard Credits.
Apply the preset to a small working sample
Use your editor's documented metadata preset or synchronization controls and inspect which fields are included. In applications such as Lightroom Classic, metadata actions and the active selection require attention; do not assume a panel always targets the same number of images. Test two copies with deliberately different existing captions. Look for replacement, clearing, or unexpected copying of a value before selecting the full collection. Keep the original record available so a bad trial can be compared without guessing what was there.
Audit meaningful differences after application
Read both sample captions and their names, dates, and source credits. A successful preset should add only the intended shared information while leaving those differences intact. Export one copy to verify what has actually been written to the delivered file rather than merely displayed in a catalogue. Once satisfied, apply the preset in manageable groups and record which version you used. If the outcome is wrong, stop before later exports spread the mistaken caption to websites and relatives.
Check before sharing this record
- Include only facts shared by the selected photos.
- Test on differently captioned working copies.
- Inspect the delivered metadata before batching.

Questions about this restoration task
Is an unchecked field always preserved?
Check the particular editor's preset behavior. Empty, excluded, cleared, and synchronized fields can be handled differently; a small trial with known existing values is safer than assuming their effects.
