Link an Expedition Photograph to Its Field Notebook
By ImgHeal · Updated
A field notebook can supply context for an expedition photograph when the link between the image and entry is documented. A shared expedition title is not enough. Start with image identifiers, creator information, and the notebook's actual date and sequence.

Identify the collection and record relationships
Save the image record, collection title, creator, and any negative, page, or specimen references provided. Search the institution's finding aid for related notebooks, albums, correspondence, and lists. Smithsonian archives illustrate that photographs and field books can be described in different parts of a collection. Record the hierarchy rather than assuming that adjacent search results were originally kept together. An expedition can include several people, journeys, and years, so its broad title is not an exact image caption.
Test the link with specific references
Inspect the relevant notebook entry and compare dates, places, numbers, and wording with the image record. Distinguish a direct cross-reference from a plausible sequence. A specimen number can identify collected material without proving that every nearby photograph shows that specimen or locality. Preserve the original spelling and any uncertainty. If the notebook mentions a photograph that is not numbered, list the candidate images and explain why one is stronger instead of quietly attaching the entry to the most attractive view.
Keep authorship and interpretation visible
Record who wrote the note and who is credited with the image, where known. A later archivist's description may add interpretation that should remain distinct from the field record. Use a qualified caption when the connection is circumstantial. Preserve notebook-page and image citations together with the untouched scan. A restored landscape or object can be easier to view, but generated details cannot authenticate a specimen, identify a participant, or fill a missing notebook reference. Make those limits clear in any shared research copy.
Keep the evidence trail usable
- Keep collection hierarchy and image identifiers.
- Require a specific notebook-to-image connection.
- Distinguish field notes from later catalog interpretation.

Questions about this restoration task
Does the same expedition name establish that two records concern the same day?
No. Expeditions can span multiple journeys and participants. Use dates, numbers, and explicit cross-references to establish the connection.
