Check Omeka S Property Visibility Before Publishing Photo Records
By ImgHeal · Updated
A template's private-property default is not proof that every resulting photo record has the intended visibility. Review the actual item values and their public presentation. Keep sensitive working notes out of the publication copy unless they are deliberately approved for that audience.

Separate research material from publication text
List the fields used for names, contact details, disputed identifications, permissions, and public captions. Decide which information belongs in the public exhibit before configuring the template. Use non-sensitive sample records for visibility tests. A setting should support a clear editorial decision, not replace one. Keep an offline or appropriately protected working record for material that the website does not need. Avoid copying a whole research note into a caption and assuming a template label makes it safe to publish.
Review defaults and individual values
Omeka S documents a Private option on resource-template properties as a default that can be changed for particular values. Inspect the template and the representative item, including existing records created before the current template. Check who can view private objects under the installed application's role model. Do not describe a default checkbox as an unchangeable security boundary. If configuration changes are needed, ask the responsible site administrator to apply the appropriate documented policy rather than improvising permission changes while entering photo descriptions.
Verify as the intended reader
Open the published item and relevant media in a signed-out browser view. Check visible captions, metadata displays, search results, and accessible downloads where appropriate. Confirm that a public explanation remains understandable without the withheld working notes. Record what was checked and which sample records were used; a successful sample does not prove every older item follows the same policy. Revisit the check when changing templates or themes. Preserve source and edited-image distinctions so a private research uncertainty is not silently converted into a confident public identification.
Check this workflow
- Choose the public information deliberately.
- Inspect actual values as well as template defaults.
- Check the signed-out visitor view.

Questions about this restoration task
Does selecting Private in a template guarantee every value stays private?
Omeka S describes it as a default with per-value behavior. Inspect actual records and verify the intended public view; do not treat the template alone as proof.
