How to Review Family Caption Changes with Google Docs Suggestions
By ImgHeal · Updated
A relative may have useful new information about a photograph without being ready to rewrite the collection's caption. Suggestions let the wording be reviewed while the evidence remains part of the discussion.

Prepare an identifiable caption draft
Place the stable photo ID with its current caption and distinguish quotations from the original print from modern descriptive wording. Keep a copy of the accepted version before opening a collaborative review. In Google Docs, use the documented Suggesting mode where your access permits it; a comment can supply context without changing text. Do not treat an invitation to review a family album as permission to replace every disputed name with the reviewer's preferred identification.
Propose a limited change and its evidence
Suggest the exact wording that needs revision instead of rewriting the entire paragraph. Add a comment explaining whether the change comes from a source record, a corrected transcription, or a recollection. Keep uncertainty terms when the evidence remains incomplete. A suggestion such as possibly Ellen is materially different from changing the caption to Ellen without qualification. Avoid accepting a caption based on facial detail that appears only in a generated restoration rather than the original source.
Accept deliberately and update the maintained record
Review proposed edits individually when their evidence differs. Google Docs allows acceptance or rejection of suggestions; use that workflow to preserve control over the draft wording. Once a conclusion is accepted, update the archive caption and any linked language versions or public copies that need the correction. Save the reasoning and contributor's attribution outside the temporary review conversation. Recheck the document after acceptance to ensure the text still describes the intended image rather than another photo on a rearranged page.
Example: a corrected place name
A reviewer proposes changing Mill Street to Hill Street and cites a clearly readable envelope. Keep the photograph's association with that envelope under review separately. Accepting the spelling correction should not silently assert that every picture inside the envelope was taken at that address.
Check before sharing this record
- Keep the accepted caption and photo ID visible.
- State the source behind each proposed change.
- Transfer accepted wording into the maintained archive record.

Questions about this restoration task
Should I accept all suggestions at once?
Only when they have actually been reviewed as a group. Name, date, and source changes can rely on different evidence, so one useful correction does not automatically validate every proposed edit.
