How to Keep an Archive Photo's Full Reference Hierarchy

By ImgHeal · Updated

A complete archival reference links the photograph to the repository and descriptive levels that explain it. Record the hierarchy supplied by that institution rather than keeping only an image filename. NARA, for example, distinguishes collections or record groups, series, file units, items, and digital objects. Other repositories use different structures, so preserve their own terminology and identifiers.

Start with the item's parent descriptions

Open the photo's descriptive record and follow the supplied collection or series links. Record the repository name, references, titles, and levels that are relevant to finding the object again. Keep a capture or note of the hierarchy when permitted. An item title alone may be generic, and a digital filename can change without describing which physical print, negative, or folder supplied the downloaded image.

Read context at the correct level

Distinguish facts stated for the whole series from facts explicitly attached to the item. A collection's broad date range does not assign that entire range as an exposure date to every image. A creator of an administrative series is not necessarily the photographer of each print inside it. Record inherited description carefully and consult scope, arrangement, and provenance notes before turning a catalogue field into a family caption claim.

Link the download and derivative

Store the record identifier and source URL alongside the local file, with an access date and the downloaded object's role. Keep the institution's preferred citation form where supplied. When exporting a restored viewing version, retain its relationship to that exact source. A recipient should be able to move from the clean image to its archival item and surrounding context without guessing from a shortened filename or a copied search-result title.

Before using this evidence

  • The repository's hierarchy is recorded.
  • Series facts are not misapplied to the item.
  • Downloads and edits link to the exact source object.

Questions about this restoration task

Is an image filename enough for an archive citation?

Usually it is only part of the reference. Keep the repository's record and item identifiers, collection context, and preferred citation instructions so another researcher can locate and interpret the source.
